    Description

    THE ROLE

    Your role stands at the intersection of providing operational support to our Arizona affiliate and the fight to change the odds for historically underserved children and families. The Arizona Operations Coordinator is responsible for providing local logistical support for a variety of events and activities, as well as executive-level administrative support. Through your proactive organized approach to the role, you get the opportunity to work with colleagues who not only care deeply about public education, justice and equity, but who are bold and strategic and take responsibility for achieving substantial progress toward our mission every year. This is a part-time position of approximately 15-20 hours per week, with seasonal peaks up to 30-40 hours per week.

    The position is based in Phoenix, AZ reporting to the Arizona Executive Director. This position is primarily work from home but must be available to attend in-person events and meetings as required.

    RESPONSIBILITIES:

    Event Support:

    • Annual fundraising event planning and support, including location scouting/coordination, day of event registration support, day of event coordination, managing contracts with venue and any other vendors, and event prep such as printing and supplies.
    • Assist State Organizing Director with volunteer and member events such as Read Across America Day, local postcard parties, and volunteer meet and greets.
    • Assist the Associate Director with events at the state capitol such as lobby days, legislator town halls, and coalition meetings such as the Criminal Justice Reform Roundtable.
    • Annual retreat event planning and support such as location scouting for hotels and restaurants, supplies/room set up, on-site support.
    • Annual planning event support such as location, food and beverage and scheduling.

    Executive Support:

    • Coordinate team calendars; schedule staff meetings; schedule meetings and phone calls with coalition partners, and other leaders and stakeholders as needed.
    • Support the Arizona team in the timely submission and approval of accounts payable / invoicing.
    • Support the Executive Director and the Associate Executive Director in the timely submission and approval of monthly expenses and expense reporting.
    • Process and acknowledge fundraising gifts.
    • Manage travel logistics.

    Project Support:

    • Data entry from local volunteer events and fundraising.
    • Support local Read on Phoenix activities.
    • Parent reading program recruitment and workshop support (may include occasionally delivering training).
    • Assist the State Organizing Director with seasonal employment paperwork.
    • Support voter contact such as phone banking and canvassing.
    • Liaise with the People & Culture Team and other relevant Shared Services teams to conduct orientations for all new staff on office policies and procedures.
    • Maintain the local storage unit and mailbox.

    QUALIFICATIONS: 

    • Passionate commitment to Stand for Children’s mission.
    • Minimum of two years of combined professional experience with administrative/executive support and/or event planning
    • Availability to work 30-40 hours/week during peak seasons such as elections and annual fundraising event.
    • Strong interpersonal relationships with the ability to manage up and sidewise.
    • Strong written communication skills
    • Expert proficiency with Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word; high comfort level with technology.
    • Salesforce experience preferred.
    • Exceptional organizational and project management skills, keen attention to detail, customer-service orientation, and proactive problem-solving skills.
    • Ability to gracefully manage multiple tasks and projects under deadline in a fast-paced work environment.
    • Ability to follow through on commitments to others and accept and incorporate direct feedback.
    • Bilingual in English/Spanish is a plus.
    • Ability to work occasional weekends and/or evenings.
    • Ability to transport items (less than 10 pounds); ability to be stationary for extended periods; may require the ability to climb stairs.
