    About the Position

    New Justice Project (NJP)’s Founder/Executive Director, Rod Adams, is seeking an Admin Coordinator to support effective time management, organization, and administration for his and NJP’s work as the organization continues to grow. As the Admin Coordinator, you are highly organized with exceptional follow-through. You are proactive, respond quickly to requests, and are comfortable being flexible working with a small, but mighty hybrid team working to affect critical societal change.

    Primary Responsibilities:

    Founder/Executive Director (ED) Support (70%)

    • Manage the Founder/Executive Director’s calendar, including coordinating and scheduling meetings and calls
    • Assist with preparing and printing materials for meetings and presentations
    • Attend meetings to take notes as requested
    • Keep Founder/Executive Director aware of and on top of upcoming appointments and key “to-dos” that require his attention and follow-up
    • Coordinate the Founder/Executive Director’s travel (incl. booking travel and accommodations; manage conference registrations; prepare travel briefs in coordination with other team meetings; troubleshoot problems to facilitate smooth trips. Maintains confidentiality, discernment, and good judgment when working with sensitive information and the personal realities of our staff and community members
    • Manage and respond to inquiries sent to the org’s general email inbox(es)
    • Complete and coordinate special projects as needed

    Other Office Admin & Team Support (30%)

    • Events logistics and coordination support (incl. sourcing vendors; collecting vendor and member payment documentation; food and beverage orders; materials and supply orders; on-site support, etc.)
    • Manage expense bi-weekly reimbursement process and processing for staff (5 - 7 team members)
    • Manage Google Drive files and databases as needed
    • Other administrative support to staff as needed

    Desired Qualifications: We are seeking a team player who is genuinely curious about people, has a love for justice, and is interested in supporting the Founder/ED as NJP grows into a powerhouse for grassroots organizing. Candidates with at least 3 years of supporting a founder and/or senior leadership will be prioritized, but those with other professional support/admin experience will also be considered.

    Physical Demands and Working Environment

    Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials up to 25lbs with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work and heavy phone usage.

    first year, 8 paid holidays, and an office closure the last week of the year.]
