Established in 1952 to advance “creative thinking, significantly expressed in words and photographs,” Aperture champions photography’s vital role in nurturing curiosity and encouraging a more just, tolerant society. 

    With a capital campaign and new five-year strategic plan, Aperture is preparing to move from Chelsea to a new, permanent home on 380 Columbus Avenue on the Upper West Side of New York City in 2025.


    POSITION SUMMARY

    Aperture is seeking a full-time Accounting Manager to oversee and maintain Aperture’s accounting practices and procedures, as well as track and manage the finances of the organization. The Accounting Manager will manage cash; prepare payroll; handle accounts receivable; oversee the monthly close, and prepare interim and final financial statements, with supporting schedules. The position will report to the Chief Financial and Administrative Officer and supervise the Accounting Associate.  


    KEY RESPONSIBILITIES


    General Accounting and Audit Functions

    • Oversee and maintain Aperture’s accounting principles, practices, and procedures. 
    • Ensure accuracy and compliance with policies and donor restrictions, posting journal entries, reconciling accounts, and creating special reports.
    • Conduct monthly general ledger analysis to ensure timely and accurate financial reports.
    • Monitor cash flow projections, petty cash and travel expense/reimbursement system.
    • Make monthly entries for earned/deferred reports.
    • Record monthly allocations for prepaid expenses.
    • Reconcile bank accounts on a monthly basis.
    • Maintain and reconcile schedules for contributions, pledges, restricted cash, and exhibitions.
    • Enter and maintain fixed assets and monthly depreciation schedule.
    • Work with CFO to ensure a clean and timely year-end audit.

    Payroll, Accounts Receivable, and Accounts Payable Oversight

    • Maintain all payroll records, submit to TriNet on a bi-weekly basis, and make related accounting entries (including monthly accruals)
    • Prepare information for annual 5500 report
    • Prepare deposits, apply payments to customer balances and perform the general banking functions.  
    • Manage accounts receivable; prepare monthly aging statements and AR analytics report
    • Prepare invoices for co-editions and other departments as needed
    • Handle 8802 application filing
    • Supervise Accounting Associate, providing input, mentoring, and training as necessary



    Report Preparation

    • Prepare financial reports - including interim income statements, balance sheets, and GL Detail Reports by department and segment - for CFO review
    • Prepare ad hoc financial reports, such as grant expense and payable reports, as required, for internal and external use.  
    • Prepare reports for short range and long-range cash requirements and obligations
    • Revise and fine tune reports, as necessary, to be more useful and efficient
    • Support CFO in preparation of annual budget and Board meetings (provide backup material as requested)
    • Perform special projects as needed

    QUALIFICATIONS

    • A hands-on, detail-oriented, and motivated individual with sound administrative, communications and interpersonal skills
    • Minimum of B.S. degree in Accounting
    • A minimum of five (5) years’ experience, ideally gained through increasingly responsible positions within Finance
    • Excellent written and verbal communication skills
    • Ability to multi-task under deadline
    • Working knowledge of Microsoft Office applications, with exceptionally strong Excel and Word skills.  Knowledge of AcumenBook software a plus.
    • Accounting experience in the book publishing or nonprofit industry a plus
    • Appreciation of photography and the arts a plus
