    Data Management and External Language Specialist - Grow Home Inc.

    Our rapidly-growing community nonprofit in Baltimore is seeking an individual with a passion for organization, service and data reporting to join our executive team and help us track and communicate the tremendous things we’re doing across the city beginning this fall.

    We are looking for the right person with a talent for reporting, photography, PR, social media, grants reporting and general nonprofit management to join our organization, Grow Home Inc. as we keep providing after-school vocational training at area schools and expand our 5-days-a week outdoor working crew of first-time employees in Baltimore. Our vocational programs are in high demand, and we’re performing transformative community improvements at area public parks, greenspaces, neighborhoods and urban agriculture spots across Baltimore city – think an organically-homegrown Civilian Conservations Corp in 2024, focused on benevolent progress for our neighbors, children, culture and communities. 

    Our mission prioritizes local workforce hiring and development and vocational training opportunities for communities in need, with specific focus on improving people as much as places. We focus our operations on getting each of our crew members the appropriate support, growth and training opportunities for future success, especially those most eager to grab the experience, knowledge and confidence to find sustainable employment. This includes a separate case worker team that connects with our clients off-the-clock to resolve issues, set goals and make personal progress overcoming obstacles.  

    Since 2020, we’ve helped more than 100 neighbors get work and go on to start their next careers and jobs to fuel success, and given hundreds of people at least a few weeks of paid experience and support. We’ve gotten people driver’s licenses, interviews and apprenticeships. Our success so far has driven up demand, and we need your help as we find new partnerships, take on new projects and make the things happen. 

    So what would you make happen for Grow Home? As the Data Management and External Language Specialist, we’d like somebody who can jump on our Executive Department and help our 12-person team develop and maintain an easy data reporting system where we can record in great detail the great work we already do – everything from student attendance at specific after school sessions, to invoices, receipts and timesheets, and even some doozies like before and after photos of the hundreds of trees we are planting and watering at sites across the city. 

    This fall we are expanding the team and launching a major increase in our after-school jobs training programs at multiple city high schools, which we need your help to accurately take attendance from student workers at each site. We are also increasing the number of new hires on our adult-worker crews. Your primary daily mission is to join forces with our new administrative aide to get up with and record daily attendance, incidents, accomplishments and other news from about a dozen people engrossed in field/classroom work five days a week. 

    These records are primarily so that we can maintain the specific data that each of our wonderful network of programming funders require, but we also are hoping that you have a strong communications background that can help us to not only report our works but tell our story to social media, the general public and the world in a more accessible way. 

    People who are service-minded, want to make things happen and are well-versed in the idiosyncratic joys of working for a nonprofit organization and/or living in Baltimore city or similar environments are perfect for this job, which includes tasks/projects like:

    • Systems Management and Data Collection for multiple programs and types of projects
    • Design and maintain multiple databases and data systems for organization to report outcomes in a variety of programs
    • Train and work with team members to ensure regular data collection
    • Monitor and notice/report benchmarks/changes in attendance, accomplishments or other vital information
    • Direct selecting and implementing appropriate CRM systems for organization 
    • Assist Executive team with grants reporting, external relations and building professional and employer partnerships 
    • Prepare / generate reports monthly and quarterly, as well as dashboards or visualizations for stakeholders
    • Creating systems for shared calendar appointments, scheduling group meetings, issuing reminders, communications to a 7-to 12-person staff doing multiple programs daily  
    • Gathering daily stats from multiple school sites to collect attendance figures of students attending afternoon work training classes
    • Ensure accurate reports of employee/client incidents, attendance, accomplishments and progress.
    • Invoicing and Billing assistance
    • CRM system upkeep
    • Attend and participate in weekly staff meetings in south Baltimore.
    • Assist and collaborate with Executive Team for communications, social media graphics design and marketing/communications materials
    • Assist with calls, new/interested clients, referrals, etc by email, text or phone during business hours.
    • Helping to make new data collection systems implementation and collection
    • Entering, updating, adding information to multiple databases

    Candidates with experience in communications, nonprofit management, community improvement, projects management, database creation and administration, accounting and other detail- and data-oriented disciplines are encouraged. 

    Qualifications/Experience

    Education:

     High School Degree or Equivalent. Additional degrees in Business Administration, Data/Project Management, Executive Support, HR, or similar skill fields preferred.

    Experience:  

    • Previous working experience in data recording and reporting. 
    • Nonprofit/Company Executive Support service also preferred. 
    • Proficiency in Microsoft Suite, Word, Excel, PowerPoint, Outlook 
    • Attention to detail and accuracy in data entry and document management
    • Ability to work proactively with multiple team members over phone/text/email.
    • Customer/Service Orientation
