    Description

    Communities Resist (“CoRe”), seeks an Office Coordinator to join a team combating gentrification, displacement, social and structural injustice through tenant organizing and affirmative litigation for low-income communities of color across Brooklyn and Queens. CoRe is a legal services organization for housing and community justice steeped in the 50-year tradition of community lawyering in Brooklyn and Queens. In these communities, we have spent years working together with neighborhood organizations and organizers in representing hundreds of tenants and tenant associations. Our representation has aimed to assist them with enforcing their right to social citizenship by struggling, resisting, and enduring against any attempts to deny working communities, largely of color, their place and their agency. CoRe has arisen out of a collective effort of these communities to ensure that this unique model continues unchanged. 

    Position Overview:

    The Office Coordinator plays a crucial role in maintaining the smooth operation of the office environment. This position focuses on coordinating office activities, managing vendor relationships, and providing support for the front desk and intake operations. The Office Coordinator is not a supervisory  role but rather a supportive position that ensures efficiency and organization within the office.

    KEY ROLES AND RESPONSIBILITIES

    Key Responsibilities:

    1. Office Coordination:
    • Assist all office staff to ensure smooth operations by addressing issues promptly and courteously.
    • Support a positive and uplifting office culture as part of the internal culture/operations team.
    • Be present in the office as responsibilities require, and collaborate with the Deputy Executive Director and Executive Director to assess organizational needs and goals and fill operational gaps.
    • Work effectively with all team members and assist with ad-hoc tasks as requested.
    • Support the staff as needed by completing various general administrative tasks, such as creating documents, proofreading, sending communications, and filing
    1. Vendor and Equipment Management:
    • Serve as the main contact for vendors, including hardware, office supplies, and service providers.
    • Manage office inventory, including equipment distribution and tracking, ensuring accurate records of distribution and returns.
    • Coordinate purchases of office supplies and equipment, obtaining approval from the Deputy Executive Director for expenditures over $150.
    1. Front Desk and Intake Support:
    • Provide coverage for the Intake Officer when necessary, assisting with front desk duties.
    • Welcome and support visitors, ensuring a professional and friendly environment.
    1. Office Logistics and Systems:
    • Assist with organizing meetings, managing databases, and managing room reservations.
    • Assist with implementing office procedures and administrative systems, which will be created by the Deputy Executive Director. 
    1. Support Activities and Events:
    • Assist the Deputy Executive Director and Executive Director with setting up and organizing in-house or off-site activities, such as staff meetings, work events and conferences.
    • Address employee queries regarding office issues, including stationery, hardware, and equipment.

    Qualifications and Qualities

    • A minimum of at least 3 years’ experience in a similar position in office coordination, for nonprofit organizations.
    • Bachelor’s degree in Administration or Business Management.
    • Strong working knowledge of  Google Suite, Microsoft Office 360, Legal Server. 
    • A demonstrated ability to work collaboratively as part of a team
    • Strong verbal and written communication skills with the ability to work toward solutions that benefit the organization
    • Impeccable attention to detail and excellent organizational, planning, prioritizing, and time management skills 
    • Bilingual candidates in English and Spanish strongly preferred or Fluency in Spanish preferred
