    Description

    Position Overview

    With a particular focus on the Georgia expansion, the ECEAI Program Coordinator (Full-time) is responsible for providing vital support to the program team by handling administrative tasks, coordinating the logistics of program activities, and building community partnerships. This involves managing office operations, maintaining records, and assisting in the smooth execution of the program. The Program Coordinator manages day-to-day operations, tracks program progress, and contributes to the development of strategies to ensure they align with the mission and goals of the ECEAI program.

    An additional key aspect of the role is managing the successful transition of program participants through various stages of ECEAI’s structured cohorts. This involves guiding participants through onboarding, active participation, and graduation or exit processes. The Program Coordinator works collaboratively with all ECEAI team members, participants, and external partners to ensure a seamless transition between phases and to support the overall success of the program.

    This position reports directly to the ECEAI Cohort Business Manager, with additional direction/task assignment from the ECEAI Sr. Program Manager, Assistant Program Manager, Vertical Specialist(s), Executive Director (or designee).

    Responsibilities include (but are not limited to):

    • Administrative Support: Serve as the primary point of contact for all program-related inquiries. Provide advanced administrative support to program team, including scheduling meetings, preparing agendas, taking minutes, and managing communications. Draft and distribute communications to program participants, partners, and stakeholders.
    • Compliance and Quality Assurance: Ensure that all administrative activities comply with organizational policies and procedures. Ensure Cohort Participants Certification Applications meet MBDA GA requirements. Continuously monitor and evaluate program effectiveness, making adjustments as needed.
    • Technical Support: Oversee the use of technology for program operations, such as video conferencing technology, presentation software and other communications technologies.
    • Onboarding and Orientation: Develop and implement onboarding processes for new program team members and cohort participant, including conducting orientation sessions, distributing materials, and setting clear expectations for program participation.
    • Participant Support: Serve as the main point of contact for cohort participants, providing guidance, answering questions, and connecting them with resources to support their success in the program.
    • Cohort Management: Manage SEO and Email Campaigns for Cohort Communication. Oversee the lifecycle of participant cohorts, ensuring smooth transitions between different stages of the program, including onboarding, engagement, evaluation, and graduation. Support the transition to B.O.S.S. network. Host monthly FAQ sessions on program and B.O.S.S network opportunities. Schedule and organize grant-related training sessions with Program Manager. Support GA HUD micro-cohort as directed.
    • Outreach and Promotion: Support the development and implementation of outreach strategies to increase program visibility and participation. Assist in creating promotional materials and maintaining a social media presence. Attend GA Community and Industry Events as assigned by Sr. Program Manager.
    • Event Coordination: Organize and execute events, workshops, and meetings related to program activities and cohort transitions, such as community outreach activities, orientation sessions, check-in meetings, workshops, and graduation ceremonies. Manage logistics including venue selection, materials preparation, and participant registration to ensure participant engagement.
    • Feedback and Evaluation: Collect and analyze feedback from cohort participants and other stakeholders to evaluate the effectiveness of the program. Use insights to make recommendations for program improvements.

    The ideal candidate will possess the following MINIMUM qualifications:

    • Bachelor's or Associate’s degree (from and accredited college or university) in Business Administration, Nonprofit Management, Public Administration, or a related field.
    • 3+ years of experience in program coordination or an administrative program support role, within a nonprofit setting.
    • Experience in coordinating or supporting cohort-based programs is preferred.
    • MUST reside and work in GA.
    • Understanding of the unique aspects of cohort-based programs, including the stages of participant engagement, transition points, and group dynamics.
    • Knowledge of program evaluation and the metrics used to assess the effectiveness of cohort-based initiatives.
    • Proficiency in managing data related to program participants, tracking progress, and generating reports for internal and external stakeholders.
    • Knowledge of event planning and logistics management, including coordinating orientations, workshops, and graduation ceremonies for cohort participants.
    • Excellent written and verbal communication skills, including the ability to clearly convey information to diverse audiences and prepare professional documents.
    • Proficiency in coordinating and overseeing projects from inception to completion, including planning, executing, and monitoring activities related to the cohort program. High attention to detail in managing records, preparing reports, and coordinating events.
    • Ability to work collaboratively with program staff, colleagues across different departments and other stakeholders to ensure successful program delivery.
    • Familiarity with program management tools and databases used to track participant progress and program outcomes.
    • Passion for environmental sustainability, racial equity, and social justice, with a commitment to advancing B.O.S.S.'s mission and values.
    • Advanced-level proficiency in using technology and software for grant research, productivity, project management, training, and communications (e.g., CRM systems, project management tools, mentoring platforms, organizational tools, communications/productivity platforms, learning management systems).
    • Advanced-level proficiency with solid, measurable experience in using a variety of software applications, social media platforms, and databases (REQUIRED: Google Workspace -Gmail, Google Docs; MS Office Suite; Zoom, Social Media apps).
    • Fluency in written and oral English; Spanish desirable.
    • Proof of eligibility to work in the US. Ability to travel throughout the contiguous 48 states as necessary to accomplish certain project tasks.
