    Description

    Overview

    The Program Support Specialist works closely with our Consultants, the Director of Client Services, and the COO, partnering with our nonprofit clients to support their fundraising and development efforts. This can include supporting specific projects and providing on-demand assistance.

    This position is ideal for someone who thrives on variety and enjoys applying different skills throughout the day. You will be an integral part of a cohesive team that is central to helping our clients drive meaningful change.

    Key Responsibilities

    The Program Support role will require the ability to adapt to changing expectations based on the needs of our clients. While there will be a foundation of core responsibilities and deliverables, our client engagements are fluid, you will be able to rely on clear communication from the COO and Consultants to ensure you know what is expected.

    Within our culture of intellectual curiosity and self-directed work planning, your responsibilities will consistently involve: 

    Data Management (35% Time Allocation):

    • Set up and configure Salesforce instances for new clients according to Cogeo's standards, ensuring a tailored structure that meets each client's unique needs.
    • Manage donor, foundation, and corporate data within clients' Salesforce accounts. Experience with Salesforce is preferred, additional training will be provided if needed.
    • Manage and maintain the development recordkeeping database (CRM), ensuring accurate and up-to-date records of donor and prospect interactions for clients. 
    • Utilize data analytics to inform fundraising strategies to support Cogeo Consultants and clients, track progress, and generate reports for client’s internal and external stakeholders.
    • Conduct research on alternative CRM platforms when necessary, providing recommendations based on client-specific requirements.

    Grant Writing (25% Time Allocation):

    • Conduct grant writing and foundation outreach for clients, including identifying opportunities, crafting compelling proposals, and ensuring compliance with reporting requirements.
    • Research foundations and identify qualified prospects for grant opportunities on behalf of clients. 

    Program Support Services (40% Time Allocation):

    • Research. Conducting research and carrying out various research projects to meet clients’ needs at the direction of the COO and Consultants. 
    • Design. Designing various outward-facing documents, using Google Slides and some web-based programs. Training will be provided.
    • Writing. Writing emails and drafting various internal and external reports.
    • Internal Communication. Internally communicating with COO, Director of Client Services, and Consultants. Communicating daily with team members via email, Slack, and other written means regarding assigned projects and tasks. Communicating verbally with team members via telephone or video conferencing as needed on a regular or semi-regular basis.  
    • External Communication. Communicating with clients on an as needed basis to describe projects and project updates, with support of Consultants and COO.

    Qualifications

    • Minimum of 2 years of experience in data management platforms such as Salesforce or RazorsEdge preferred. Training will be provided if needed. 
    • Proficiency in Excel or Google Sheets.
    • Strong written and verbal communication skills.
    • Excellent customer service orientation.
    • Project management skills: attention to detail, ability to stay organized and work effectively under pressure/deadlines, and adapt to changing priorities. 
    • Demonstrated ability to work well within a team. 
    • Flexibility to respond to sudden and unpredictable business needs.
    • Willingness to work outside standard established business hours on occasion. 
    • Ability to use or learn computer programs such as Google Drive and associated applications. 
    • Exceptional communication and interpersonal skills, with the ability to effectively engage and influence stakeholders at all levels of an organization.
    • Ability to effectively manage time to juggle multiple projects at the same time.  

    Education

    High school completion required. Post-secondary degree preferred.

    Essential Functions/Physical Requirements

    Depending on work assignment, may require ordinary ambulatory skills sufficient to visit other locations. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information. May include sitting for long periods of time, driving a vehicle and working under challenging conditions.

    Work Conditions

    Work is performed indoors with some potential for exposure to typical safety and health hazards. May travel and participate in meetings and conferences, as determined by managers.

    Skills and Abilities

    Google Suite, Donor Management System (Salesforce or RazorsEdge), Trello, and Slack are highly preferred.

    Travel

    Limited, less than 10% of time. This is a fully remote, full time job; however, employment rarely requires phsyical travel.

    Level of Language Proficiency

    Fluent in English is required. Cogeo has some international clients in Spanish-speaking countries, so conversational Spanish is a plus.
